How to Check Your Birth Certificate Application Status in South Africa


After submitting a birth certificate application — whether a new birth registration, a replacement unabridged certificate, or a late registration — it is natural to want to know where things stand. This guide covers every available method for checking the status of your application and what to do when tracking stalls or returns no results.


⚠️ Important: DHA Online Status Portal Is Suspended

The DHA’s online Track and Trace status verification portal at dha.gov.za/status has been suspended until further notice. The page currently displays: “Please note that the online Status Verification service has been suspended until further notice.”

This means you cannot check your birth certificate application status online at this time. The available methods are SMS, the call centre, and in-person at the office where you applied.

Method 1 — SMS Status Check (32551)

The fastest way to check the status of most DHA civic documents is via SMS to 32551.

For a birth certificate or ID-linked application:

  • SMS the word ID followed by your South African ID number to 32551
  • Example: ID 8001015009087
  • You will receive a reply SMS with the current status of your application
  • Cost: R1 per SMS, charged by your network service provider

For a marriage certificate status:

  • SMS the letter M followed by your ID number to 32551

Note: The SMS service returns the status of your record in the National Population Register (NPR). For birth certificate applications specifically, the system may return limited information if the certificate has not yet been linked to an ID number — particularly for newborn registrations or late registrations still under investigation. In these cases, follow up via the call centre.


Method 2 — DHA Call Centre

Call the DHA Call Centre on 0800 60 11 90 (toll-free, available during office hours).

Have the following ready before you call:

  • Your South African ID number (yours, or the child’s if they have one)
  • Your receipt reference number from when you submitted the application
  • The date of submission and the DHA office where you applied
  • The applicant’s full name and date of birth

The call centre can look up your application and provide a status update. If the application was submitted at a South African embassy or consulate abroad, contact that mission directly as embassy applications are tracked separately and the local call centre may not have visibility.

Tip: Call early in the morning — the DHA call centre experiences high volumes and wait times can be long during peak hours. If the line is busy, try again at a different time rather than staying on hold.


Method 3 — Visit the DHA Office Where You Applied

If the SMS and call centre methods do not resolve your query, visit the DHA office where you originally submitted your application. Bring:

  • Your original receipt from submission
  • Your South African ID or Smart ID card
  • Any correspondence or SMS messages you have received from DHA

Ask the official at the counter to look up your application reference number and provide a written or verbal status update. If the official cannot assist, ask to speak with the branch manager or supervisor.


Method 4 — Applications Submitted Abroad

If you applied at a South African embassy, high commission, or consulate abroad, status tracking works differently. As noted by the South African Embassy in Seoul, once your application has been dispatched to Pretoria, the mission has no access to the DHA system to check the status on your behalf.

For applications submitted abroad:

  • Contact the DHA Call Centre on 0800 60 11 90 directly (international calls are possible)
  • Alternatively, email the DHA at hacc@dha.gov.za with your full name, ID number, date of application, and the mission where you applied
  • Allow the standard processing window before following up — 6–8 weeks inside SA, and up to 6–12 months for applications submitted at overseas missions

Step-by-Step: How to Check Your Status

Step 1 — Check How Long Ago You Applied

Standard processing for a birth certificate replacement (Form BI-154) is approximately 6–8 weeks according to the Western Cape Government. Before following up, confirm you have waited within that window. Older applications requiring vault searches can take 3–6 months. Late registrations under investigation can take significantly longer.

Step 2 — Try the SMS Service First

Send ID followed by your ID number to 32551 (R1). If you receive a clear “ready for collection” response, proceed to collect. If the response is unclear or no record is found, move to Step 3.

Step 3 — Call the DHA Call Centre

Call 0800 60 11 90 with your receipt reference, ID number, and submission details. If the call centre can confirm your certificate is ready, collect it at your application office. Step 4 — Visit the Office in Person if Unresolved

If your birth certificate application is delayed and you urgently need a form of identification, apply for a Temporary Identification Certificate (TIC) at any DHA live-capture office. It costs R70 and is accepted as a valid form of identification for most purposes while you wait.


What You Cannot Do

  • You cannot check birth certificate application status online — the DHA’s Track and Trace portal is currently suspended
  • You cannot track a birth certificate application via the eHomeAffairs portal — that system is for Smart ID and passport applications only
  • You cannot check the status of an application submitted at an overseas mission via the DHA call centre — contact the mission directly for overseas applications
  • Naturalised citizens and Permanent Residents can now apply for Smart IDs at bank branches (Phase 1 rollout), but only if they are from certain visa-exempt countries. All others must still use a DHA live capture office.
